How far back can the data in the UCAS Progression Report go?

You can order the 2008/09, 2009/10 and 2010/11 entry cycle Progression Report data - if you subscribe to the 2010/11 entry cycle Progression Report you can purchase previous reports for £75 each +VAT.

Can I order the Progression Report at any time?

The Progression Report is generated once a year, usually at the end of November. Offers and Competitors Reports are produced in May. The 2010/11 entry cycle Progression Report is the most recent report, but you can still order previous years reports as well. You can buy Progression Reports at any point during the year as the data is from the previous two cycles.

What is the difference between Adviser Track and the Progression Report?

Adviser Track subscription has three elements (Adviser Track, ASRs and Final Destination Report) and provides current cycle data. Adviser Track enables schools and colleges to track the progression of their students' applications after they have submitted their application to UCAS.

The Applicant Status Report (ASR) is a data dump of current cycle data providing information on your students' applications. It is updated monthly and gives information on where and to what course they have applied, any offers from institutions and the conditions of the offer and the students replies to their offers. The report opens in Excel as a CSV or HTML file and can be downloaded each month.

In contrast, the Progression Report provides summarised data in easy-to-view graphs and charts for the previous two cycles (it is not current data) and can be used to compare year on year trends and benchmarking against the national picture. There are also datasets allowing for easy manipulation of data for your own reporting.

What is Adviser Track?

UCAS Adviser Track is a useful and user-friendly online tool, accessed through www.ucas.com/advisers/ which enables you to track the progression of your students' applications after they have submitted their application to UCAS, from October throughout the application process. Adviser Track is available from the end of October.

Once subscribed you will have access to information on:

  • students who are waiting for replies from universities and colleges
  • students who have received offers and the conditions attached
  • students who need to reply to offers
  • applicants in Extra, Clearing or Adjustment
  • decisions made by universities and colleges and the replies that the applicant has made

Adviser Track costs £41.67 + VAT = £50.00

Subscription runs from: 1 November - 31 October and provides current cycle data.

Applicant Status Reports (ASR)

As part of the Adviser Track subscription you have access to ASR's, these are monthly downloadable reports that give you a snapshot view of your students application each month. The report is available to view/download as a CSV or as an HTML page in the Adviser Track section of Apply. The first ASR is available from November and is updated on the first of each month thereafter.
PLEASE NOTE: Each updated report will overwrite the report published in the previous month.

Final Destination Report (FDR)

The FDR is also included as part of the Adviser Track Subscription. The first interim FDR is available from September followed by the second in October.

What if we operate from more than one site or campus?

If you operate from more than one site or campus and you have more than one school code you can order Progression, Offers and Competitors reports and have one report covering all sites. (This will be charged at the standard rate of £125 + VAT) or a report for each site (which will be charged at the standard rate for the first report and half price for subsequent reports).

If my school has merged, can I still order the UCAS Progression Report?

If your school has merged in the last three years we can supply one report with the historic data aggregated for the new school. We will need names and postcodes, or school codes, for the old schools in order to do this.

How do I order the Progression Report?

From September 2011 you will be able to order Progression, Offers and Competitors' Reports, including 2012 Adviser Track, through the UCAS Bookstore. This will enable you to order multiple products in one simple, easy transaction. How do I pay for the Progression Report?

The Progression Report costs £125 + VAT. Dependent on the method of ordering you will be invoiced for the UCAS Progression Report by our Finance Department and you can pay by cheque, BACS or credit card. If you wish to send payment with your order, you will be sent a receipted invoice. If you wish to pay by credit card, please call 01242 223748.

Can anyone else access my Progression Report data?

Your data will not be accessible to any organisation apart from yourselves and UCAS.

What format is the Progression Report produced in?

The Progression Report is produced in Excel - this format allows you to copy and paste the static graphs into marketing materials and reports. You can also copy and paste data from the data tables (such as the Applicant Listing spreadsheet) into a new worksheet and create pivot tables. A pivot table will automatically extract, organise and summarise your data which you can analyse for your own requirements. For more help on pivot tables click here.

When will we receive our Progression Report?

We will email your Progression Report to you within five working days from receipt of your order. During peak times however, such as mid-November when new Progression Report are available, we aim to process orders and dispatch them by mid-December onwards. During peak times we will advise you when you can expect to receive your report.

How will we receive our report?

From November 2011 we will no longer email reports with a link to our secure STFP server, which means you, will no longer have to call us for a second password.

You will receive an email from reportsforschools@ucas.ac.uk which will have the subject line ***** UCAS Progression/Offers/Competitors Report - padlock advising you that your report(s) can be accessed via 'CISCO' - a secure email system. On receiving the above email you will need to register with CISCO. If you have already registered with CISCO, simply enter your current registration details to access reports.

Can I take off the password from our Progression Report?

If you have received your report with a link to our secure STFP server once you have saved your report you can take off the password. To do this, follow these steps:

  • Open your Progression Report using the 2nd password provided

To delete the password:

  • Select Save as
  • Click Tools
  • Select General Options from the list

  • Delete your password from the password to open box so that the field is blank
  • Now click OK

  • You can now replace the existing file or save it under a new file name

  • You can now open the file without the password.

Are there any terms and conditions for the licence of UCAS data?

All subscribers are sent standard terms and conditions with their order acknowledgement. In brief they state:

  • publication of the Application Listing is prohibited
  • provision of data to third parties is prohibited
  • there is a requirement to anonymise data for publication purposes and to suppress data where the identification of individuals is probable
